    As a Scheduler, you will work in The Patient Service Center (PSC) and schedule appointments and handle calls from the patients intended for various providers and clinics within the Banner University Medical Center. In this role, you will be the first point of contact for a new patient seeking treatment and also serve as a conduit for messaging and appointments with the clinics. You will provide the caller with services including swift answer time, timely and accurate information, and available appointment dates and times are among the chief goals of this department.


    You will be responsible for the scheduling of medical procedures/appointments across the assigned region which involves coordination of resources and communication back to the patient. You will work independently under general supervision, following defined guidelines and procedures. This role works in a fast paced, multi task environment with high volume of calls requiring independent decision making and sound judgment to prioritize work. Customers can include hospital ancillary departments, surgery operating departments, admitting, physicians, physician’s office staff, patients, patient family members, insurance companies, and all third party payers.

    Job Summary

    This position is responsible for scheduling medical procedures for the organization's patients, physicians and medical facilities across the region by coordinating all aspects including, but not limiting to, facility resources, physicians, authorizations and insurance verification. Using a broad understanding of clinical procedures and company facilities, this position provides patients with pre-admitting information and pre-registration.


    Essential Functions

    • Coordinates patients, facility resources, physicians, ancillary staff, documents, records, referrals, authorizations and insurance providers to effectively schedule medical procedures. Makes and responds to calls from patients, provider offices and facilities for scheduling services.


    • Schedules tests and procedures in scheduling software system according to the guidelines established by the individual hospital departments and central scheduling standards.


    • Obtains and documents prior authorizations, referrals, or other authorizations as required by facilities and insurance carriers. Acquires and documents pertinent patient medical information in accordance with procedural guidelines.


    • Provides patients with information, pre and post-test instruction and directions, location directions, and answers to questions. Refers questions to medical offices as appropriate.


    • Solicits, labels, stores and manages scanned documents and orders received from physician offices in the document imaging software system. Ensures that all appropriate documents have been received prior to appointments and ensures that orders are compliant with each facilitys policy.


    • As assigned, collects pre-payments and verifies insurance coverage.



    Minimum Qualifications

    High school diploma/GED or equivalent working knowledge.

    Requires skills and abilities typically attained with 2 years of medical clerical experience; preferably in a hospital central scheduling or physician office scheduling setting. Knowledge of medical terminology is required. Also requires knowledge of payor contract terms and processes. Must have highly developed interpersonal skills and communications skills, with a strong customer service orientation. Requires effective teamwork skills and the ability to meet deadlines and productivity standards.

    Accurate and efficient keyboarding skills, the ability to work effectively with common office software are required.

    Preferred Qualifications

    Previous out-patient testing or surgical scheduling experience is desired.

    Additional related education and/or experience preferred.
